Creating a SHOP depot (If separate stock from main depot)

  • In Prima, go into Company, then Companies
  • Search for OWN company
  • Double click into the company record and into an existing location
  • Click the New button
  • Put the Location Code as SHOP and enter the relevant address details for the shop
  • Click Save icon to save all address information


Creating EPOS Users

  • Log into the Administration
  • Go into User Administration
  • Click Create New User
  • Enter the following information
    • Username
    • Login Name
    • User Level - must be Trade Counter User
    • User Default Depot - must be Shop
  • Click the Save button to create this user
  • You can have more than one till user set up!


Logging into Till

  • Open a new Prima log in box
  • Change the Application dropdown to show TILL
  • Enter the till username into the username field
  • Click Sign In


Creating a Cash Sales Order

  • Click on the Cash Sales button
  • Click the Edit Details button
  • Enter the address details
  • Click Save & Close


Creating a New Trade Counter Order

  • Click on the Trade Order icon
  • Search by Account Code or Company Name
  • Click the company and location in the list and click Select
  • A new order will be created and the company name will show in the header.

Entering items to your order

  • Items can be added onto an order in various ways
    • Scanning a barcode
    • Typing a barcode number in
    • Searching by Item code
    • Searching by Item Description


Changing the Quantity

  • To change the quantity added to the order, click the Quantity button 
  • Enter the relevant quantity
  • Click Save


Changing the price against a line

  • To change the price against the line, click the Price icon
  • Enter the value
  • Click Save


Enter a discount against a line

  • To add/edit a discount, click the Discount icon
  • Enter the discount value
  • Click Save


Barcode Entry

  • To enter a barcode from an item that will not scan, click the Barcode icon
  • Type in the Barcode
  • Click Ok
  • If the item exists in Prima, the item will be loaded onto the order


Deleting a line

  • Highlight the line you wish to remove
  • Click the Remove icon
  • A popup box will appear to confirm this.
  • Press Yes to remove the item


Completing a Cash Sales Order

  • Click on the Complete Icon
  • Select the relevant payment method - Cash, Card, Voucher, Check
    • Cash Payments
      • Enter the Tender amount
      • The Change value will be displayed
      • Click Save
      • Click Complete Order to print Sales Receipt
    • Card Payment
      • Click Save
      • Click Complete Order to print Sales Receipt
    • Voucher Payment    
      • Enter the Tender amount
      • The Change value will be displayed
      • Click Save
      • Click Complete Order to print Sales Receipt
    • Check Payment
      • Click Save
      • Click Complete Order to print Sales Receipt


Items not on hand

  • If the item is on hand but does not show in Prima, the item will pop up when you complete the order to ask if this needs to update stock or go to the buying list. If you wish for it to be put on the buying list, highlight and move down before hitting the Update Stock button.
