Sales Features


Price Breaks have now been added. You can set up products with up to five fixed quantity breaks assigned to them.

A new lookup and grid manager are available for easier management - but single products can be updated. The lookup is managed by item number (so it's not just products) and includes catalog items. Bands can only be enabled if a band and price have been entered for every level – so zero prices can’t be published accidentally.

Filters are available for creating price bands by the mailer, catalog, web group, and many more. Band pricing is applied after PACT and Special Pricing, but otherwise, only quantity price breaks will apply.

 

Sales Quote & Advanced Sales Quote Product Entry: these have been updated to reflect similar changes to the sales order input. Allowing most fields to be updated in the summary tab and allowing the vendor to be selected at line level. Quantity, selling and cost prices can all be updated, and the key will save for fast order entry.


Till when sharing stock in a single warehouse, low stock levels allocated to sales will be transferred automatically if a ‘walk in’ customer takes the remaining stock. This means the stock will automatically be re-ordered to fulfill standard sales.

 

Credit Card details can now be stored against the contact (many per contact) placing the order when taking CC payments. The card is then saved and the last 4 and expiry date can be viewed and the card used again without re-typing.

PrimaXML Imports have been improved with more import fields: order source, buying notes, cost center, line note, tax per location. This has been applied to quotes too - so Prima XML can be order or quote depending on the type field in the header of Prima XML.


Purchasing & EDI:

Purchase Orders: You can now update the expected delivery date on a Purchase Order which will update all the lines at once, instead of having to update each line individually. This is useful for backorders, where the delivery date is expected to be longer than the standard delivery time and prevents items from being added to receipt notes automatically when they are not expected the next day.

 

Match Items: for EDI purchase orders, the match item pop-up has had several improvements: 

  • larger size; 
  • shows the details of the items selected on the popup, the standard cost on the pop-up, and variance - so the user can see the cost 'before' electronic acknowledgment; 
  • shows percentage match defaulted to 80% so usually only lines on that PO will show as default - but can see all and see if a different code was supplied (as sometimes happens).


Movements Features:

Dispatch Tracking numbers can be manually set up in dispatch notes by copy and pasting the relevant tracking number from other sources. Tracking information will be automatically emailed to the person who placed the order by schedule. Administration to set up new carriers and their URLs has been added. Tracking can be done by item, all lines, or a mix of both. i.e., multiple tracking numbers for one despatch line or one tracking number for the complete note.

Dispatch Note Completion: A new system key to automatically complete receipts on dispatch has been added for either all or just drop-ship orders. The default will be Y, so completing the dispatch note will complete ALL receipt note lines.

Dispatch Note Lookup and note now show SO reference and SO number when matched. Filters for SO number and reference added to lookup grid. 

ASN updates improved (Essendant and SPR). When ASN's have split quantities for tracking (Essendant) or split on SPR for delivery - the receipt note is now updated with full quantity, instead of the split quantity.


Manifest Enhancements:

Driver name can now be found in the Manifest Information field.
A new button to navigate from the dispatch/collection note to the corresponding manifest has been added.
A short-cut to dispatch note from the manifest creation form is now available.
 A system key has been added to allow for the automatic creation of manifests -consolidated by van route - when generating dispatch/collection notes.


Invoicing:

Sales Invoices: The EDI will pick up the payment status from the financial system, however, when required Prima users can get the latest paid status, amount, and payment date by clicking the refresh button on the invoice. Useful information for reports and commissions.

Reports & Analysis:

Back Order Spreadsheet Report can now have Total Profit from Sales Order added as a data field as well as the profit per unit. The contact information in this report has also been updated to provide detail of the contact who placed the Sales Order.

Sales Invoice by Cost Center Report: Added total including tax, as a newly available data field.

 

A HP Dedicated weekly report has been added to pull all HP product sales.


Scheduled management active reports now email out to cc and bcc fields.

 

Commission Management & Report

The following setup options have been added to allow you to manage and report commission to your sales reps:

  • Create commission bands with a default percentage (e.g. band A with value 10 or 10% Band with value 10). Only bands need setting up in Admin>General>Commission Bands. Margin commission types can be set directly on the company.
  • Set user commission rates - against each user in Admin>users, either leave the default 100% with a percentage min and max on profit e.g. 100% (5, 100), and set the margin rates minimum and maximum. A salesperson could be paid based on a fixed band for one company or get a Margin commission rate for another company.
  • Set Nominal commission rate (if required) - allows the commission to be varied for different nominal e.g., 50% on furniture for that company (in Admin>General>Nominals -default 100% for each nominal). This will allow the commission to be reduced or not paid on some product types e.g. some dealers may pay no commission on freight.
  • Assign the commission band against a company and/or individual locations i.e. every company can have a commission band or none. Only enter a commission rate in an individual location if you want the commission to be paid differently for invoices dispatched to this location.
  • Sales invoices and sales credits will show commission paid/repaid. This can be set using the filters and ‘set commission’ on selected lines features in the sales invoice and credits lookup.  Only users with permission to pay commission can do this and those users can also individually update a sales invoice or credit to Commission paid or repaid.
  • A commission spreadsheet report is available that will show commissions due or to be repaid. Criteria by salesperson or depot and invoice/credit date and commission paid are available. When the values are correct, the lookups can be used to set the next month’s commissions (or any other period).

 

Efficiency Enhancements 

Company Contracts update and save will no longer refresh the contract grid - making the update much faster and more efficient.

Dashboard: A notification will appear when attributes need applying. This may be when attributes have changed and now have missing/new values.

Sales Dashboard report has been optimized to load more quickly.

Catalog lookup grid now shows EDI setup (which functions are available plus last terms/stock update).

 

Call-Off Orders on PrimaGO Online store

When customers log in to their PrimaGO online store, a new option in their account menu will provide information on the balances of any existing call-off orders, previously created in Prima.

The call-off list will show the delivery location, the original quantity, the quantity remaining, and allow the user to enter a call-off quantity and select a delivery date. An email will be sent to confirm the call-off details.
 This new feature means that Call Off Order requests are available 24/7 to the end-user!
