You can now share stock between products in Prima that you recognise as the same product but are not already linked due to separate supplier pack sizes.


For example, if you have paper that is bought from Supplier A as an individual ream, but you buy from Supplier B in Packs of 20, you can link these products through the use of Alternatives. These codes would be created separately in Prima, so would need to be linked if you wish to share stock between the codes when placing the product on a Sales Order.


The Shared Stock feature can also be used for your own codes, where you sell the product to customers under a generic code, such as A4Paper, but you purchase the product for your stock under the supplier code.



To set up Shared Stock:


- Enter into stock product where you want to take the stock from (e.g. the supplier code)


- Click into the Supersessions / Alternatives / Groups tab at the top of the screen


- In the middle section of the screen, you will see the New Alternative Product field


- Enter the stock code you would like to share the stock with, set the Alternative Type as Optional, and tick the option labelled Share Stock?


- Then click Save or click anywhere on the page



Shared Stock and Sales Orders


Once the above is set up, you can then enter your product code onto a Sales Order. If the code you are adding on to the Sales Order has no stock, upon Authorisation, the stock will automatically pull from the linked Alternative Product code if the stock is available, updating the line status to Allocated.


In the Sales Order, under the Alternatives tab in a line, you can see the Shared Stock status of the alternative. If you have set up the Alternative to share stock with the item on your order, this status will be set to Y.


When adding the product to an order, or for a product you've already added when looking in the Delivery Details tab, under the Quantity Available field, you will see two quantities. The quantity not in brackets is for the item on your order. The quantity in brackets is the total stock available including shared stock.



Product Look-Up


In the Stock Product look-up grid, you can now also search by products which have at least one shared stock alternative by ticking the option of Shared Stock? to be Yes or No.


In the Stock Product record, the Alternatives grid shows if an item is set up for Shared Stock, and the pack size of the alternative product.


Shared stock is transferred using the Pack Per Ratio.
