Quick searching in Prima allows you to search through your system more efficiently, delivering results quickly whilst maintaining the accuracy and detail you need when responding to customer requests, orders, and questions.
Sales Orders
Sales Order Lookup
In the Sales Order lookup screen, you will see a feature in the top right labelled QS - 6 months. This has been implemented as part of our QuickSearch functionality, designed to load results more quickly to help you find relevant orders.
QuickSearch, by default, brings back results from the previous 6 months, rather than all historical data in your system.
When searching on a unique reference (such as a Sales Order number, a customer or internal reference), the QuickSearch will be disabled in order to find the specific order you are looking for:
If you wish to search on all records, and not just the previous 6 months, you can click the QuickSearch button to disable it.
Sales Order Item Searching
In a Sales Order itself, the QuickSearch feature allows you load items from your search more efficiently, and with greater accuracy.
When searching for an item code in a sales order or quote, you will be prompted to search on a minimum of 3 characters when searching for a code, or on a minimum of 5 characters when searching on a description:
By searching on the minimum characters, which you can combine for accuracy (such as searching on "KF" as the item code and "Red Pen" in the description), the QuickSearch feature returns results more quickly than the previous search functionality.
You will also be able to search on, or view in your results, items that have been previously sold(in last 12 months) to the customer, or if they are currently on contract. This will make it easier to find relevant products for customer enquiries, ensuring you are choosing the best item for your customer's needs:
As part of QuickSearch, to improve speed and functionality, if more than 100 items are returned in the results, item prices will not be returned. However, if you do search and less than 100 results are returned, supplier data such as cost prices are now listed in the search itself, making it easier for you to choose the item that best suits your business and your customer's needs.
The QuickSearch feature works across Sales Quotes, Sales Orders, and Purchase Orders, making searching for items and orders in your database much more efficient across all areas of sales and purchasing.
Product Lookup
QuickSearch has also been implemented in the product lookup, ensuring searches return the most relevant results to you in the quickest time.
By default, when searching with no filters, the product QuickSearch returns only items which you hold stock of as default:
Much like Sales Orders, Quotes, and Purchase Orders, searching for a unique field (such as an item code) will automatically disable QuickSearch so that your specific results can be returned:
Invoicing QuickSearch
QuickSearch has also been implemented for your invoice searching, returning the most recent invoices as a priority. This has been integrated across Sales Invoices and Credits, as well as Purchase Invoices and Credits:
