Mailers are a handy tool for dictating pricing for many customers at once. This is a complete guide on how to 
  • create a brand-new mailer 
  • import a spreadsheet you already have and turn it into a mailer 
  • edit an existing mailer quickly.

How to Create a Mailer

  1. To create a new mailer from scratch, go to Publications > Mailers > and click the blue + button in the bottom right corner of the screen. 
  2. Once the Mailer name field is highlighted yellow, you can enter in the new mailer's information: 
    1. The new mailer's name
    2. Start and End date
      1. It is recommended that you set the start date to a few days in the past, so that there are no issues with applying the new mailer immediately
    3. Priority
      1. The priority is the order in which the system will use pricing from each mailer, with 1 being the highest priority and 99 being the lowest. The system will look at any mailer with priority 1 first when calculating pricing, then priority 2, etc.
      2. If two mailers have the same priority level, the system will choose the mailer with the lowest price. 
      3. Priority 0 is the default and is a lower priority than 99. Any mailer with priority 0 will be used last. If you are unsure of which priority to use, priority 0 is the safest choice. 

 

 

 

How to Edit a Mailer

  1. To add, delete, or edit an item in a mailer one by one, go to Publications > Mailers > and double click on the mailer you wish to edit.
  2. Once in the Mailer Item List look up screen, use the Std Item Code field to search for an item code you wish to edit. (Or click the pink bar to open more filters.) Once you find the item you wish to edit, double click the item to open the mailer item record.
  3. With the Mailer Item window open you can edit several fields
    1. Pricing Rule
      1. If the Pricing Rule is set to Standard Pricing, the item will have a set price determined by what’s in the Selling Price field.
      2. If the Pricing Rule is set to Markup or Margin, the item price will be calculated when it is added to a sales order / invoice using the margin set in the Margin / Markup field.
    2. Mailer Code
      1. The mailer code is a field where you can set a unique item code for this item on just this mailer. This is seldom used, and it’s highly recommended to set the mailer code to match the item code exactly.
      2. If you’re having an issue with the mailer not pulling the right price for this item on this mailer, check to see if the mailer code field matches the item code EXACTLY
  4. Once finished making any changes, make sure to save before you close!

How to Import a Mailer Using an Excel Spreadsheet

Often, your mailers can be tens of thousands of items large; way too large to edit each and every item one by one! To solve this problem, we’ve improved our function to allow you to make mass edits and even import large lists of items using an excel spreadsheet. Here’s how!

 

  1. If you’re importing a brand new list of items, be sure to create a brand new blank mailer first using the steps labeled under : How to Create a Mailer
  2. Go to Publications > Mailers > and double click the mailer you wish to upload to.
  3. Once the mailer is open, click the pink colored bar to open more filters, where you’ll find the Import and Export button.
  4. Click the Export button, which will prompt you to save a copy of the import template spreadsheet. Open the spreadsheet once you’ve saved it. (or use the export template attached to this article.)
  5. With the spreadsheet open, this is where you’ll make your changes. If there were items in the mailer when you exported it, those items should appear in this spreadsheet. Make all necessary changes like changing prices / margins, adding or deleting items et.
    1. The required columns to fill out are marked in orange, plus the mailer code column. Make the mailer code column match the item code column exactly. All other columns can be left blank, and the system will pull that information in on its own based on the item code. If Pricing rule M (markup/margin) the column will need to be filled in. If Pricing rule is Mandatory 
    2. Once you’ve made your changes, save the spreadsheet somewhere where you’ll find it again, and close the excel sheet entirely. It will produce an error if your try to import while the spreadsheet is still open, so be sure to save and close it completely.
  6. With the spreadsheet saved and closed, click the Import button drop down and select the Import (Replace) option, and click the button. 
  1. In Prima, click Import (Edit) and browse for your file. This is used if you want to only edit the existing mailer (e.g. if you deleted codes from the file in Excel, they won't be deleted in Prima).
  2. Alternatively, click Import (Replace) and browse for your file. This will import in the mailer as it stands in Excel (e.g. if you deleted codes from the file in Excel, they will be deleted in Prima).

Select the spreadsheet you just saved and click open. The mailer should fully download within a few minutes. Check back every few minutes to make sure all items have been imported. 

Assigning Mailer to Companies

To Assign a Mailer To One Company
  1. Go into the Company and Companies module
  2. Search for the Company Name or Account Code
  3. In the company record, go into the Product & Pricing tab
  4. Click the Add Publication button
  5. Select the Mailer from the drop-down and click Add
To Assign a Mailer To a Batch of Companies
  1. Go into the Company module and click Company Grid Manager
  2. In the grid manager, enter your criteria and click Search
  3. If needed go into the Result tab and remove any companies you do not want the mailer assigned to
  4. In the Change tab, tick the Publication box and select the mailer from the drop-down
  5. Click Apply
