This article describes how to set up EDI ordering for ISG vendors. Please follow the steps carefully and give us a call if you would like any assistance or have any questions.

ISG EDI Set Up:
- The first thing you need is the ISG catalog.
- To check if you already have the catalogue uploaded to your database, go to Publications > Catalogues and look for ‘ISG Direct Cost Files.’ Make sure the catalog is in date
- If you do not have the ISG catalogue uploaded to your database, then you can go to the Prima Marketplace. A link to the Prima Marketplace is in the Dashboard tab > bottom right corner. (gray icon with a store symbol). Request the ISG catalogue from the marketplace, and we’ll upload it to your database. (You will need to sign up for an ISG account if you haven’t already)
- Once you’ve checked that you have the ISG catalogue, check to see if you have an ISG company. Since the invoices for ISG EDI orders come from the ISG company, you’ll need an ISG company to act as the PARENT company, while the ISG vendors will be the CHILD of the ISG company.
- From here, create a company for each vendor you want to EDI with.
- Create a separate 3M company, or Avery, or whichever other vendors you need. **Look at the spreadsheet below to see all the available vendors from ISG and if they accept EDI orders.**
- In the main tab of the vendor company
- Make sure the vendor companies you create are set to Vendor
- Put ISG as the parent company.
- Set the invoice location to PARENT.
- Now go to the Supplier tab in the company.
- Set the Vendor Reference to the Vendor # found in the spreadsheet below. So if the vendor is 3M, set it to MMM. Note: This field has to match exactly. All uppercase and no extra spaces.
- In the EDI Setup section:
- Set Connection Type to ISG EDI
- Enter your ISG Username and Password in the Connection Username and Password
- Enter your ISG account number in the Vendor Code for Buyer section
- **If you do not know your username, password or ISG account, please email Eric Jensen at ISG (ejensen@trimega.org) and he will provide you with the details. See example email below.***
- Next set up the Delivery Codes. Click the Add Button under the delivery code section
- Standard
- Set Code to S
- Descrition is ‘Standard’
- Set System Type to Standard
- Click ok
- Wrap and Pack
- Set Code to P
- Descrition is ‘Wrap and Pack’
- Set System Type to Wrap and Pack
- Click ok
- Drop Ship
- **Some Vendors do not accept dropship orders. Check the Accepts Dropship Orders column in the spreadsheet below to view which vendors accept dropship orders**
- Set Code to D
- Descrition is ‘Dropship
- Set System Type to Dropship
- Click ok
- Standard
- The vendor set up is now complete. Repeat this process for every ISG vendor you want to set up EDI ordering with. If you plan on setting up EDI ordering for many vendors, give us a call or email our support desk and let us know which vendors you need. We can do many of these steps by script to save you time.
- Once you have set up all the vendors you need, go back to the ISG catalogue under Publications > Catalogues. Highlight the ISG catalogue and click the Create Supplier Records button. This will look at all ISG vendors you have set up and match the Vendor # you entered in the Vendor Reference filed on the company and match it with the manufacturer code found in the item records on the catalogue. This is how the system knows to match the right items with the right vendor. This completes the EDI set up for ISG. You’re now ready to send EDI orders for ISG items. Select the ISG vendor as the supplier when ordering and send via EDI.
**IMPORTANT NOTES**
- Some ISG vendors accept EDI orders, but do not send acknowledgements back to us. The acknowledgement file is the information that the vendor sends back to us after you place a purchase order, such as them confirming your order and informing us of any price changes, back orders, if the can’t fulfil an item, etc. If the vendor does not send acknowledgements, we will not know if they have received the order or if there are any problems with the order. You will have to go to ISG’s or the vendor’s website to check the status of your order. You can find a list of vendors who do not send acknowledgments in the spreadsheet below under the ‘Sends PO ack’ column.
- If a vendor does send acknowledgements, they will also send you an electronic purchase invoice. If the vendor does not send acknowledgements, they will not send you an electronic purchase invoice, so you’ll have to create it manually in Invoicing > Purchase Invoices > Available lines.
