COMPANIES
Company Templates:
1. Multiple company templates can now be created in Administration, each with its own name and default settings.
2. Once templates are created, one can be selected as the default company template.
3. In Prima ERP, the Create New Company popup will now automatically apply the default company template as set in Administration and will load all the company values for that company template.
NOTE – only 'differences’ from the standard default company will require setting i.e. you could create a ‘Company 2 Template’ that only includes two different report layouts.
If you change the template in the popup in the ERP while creating a new company, the new default profile will be loaded.
SOP
Sales Orders Lookup:
1. A new 'Print Labels' button has been added.
2. Added a feature to print labels from the grid for the 'number of parcels'
NOTE: This is useful for projects where labels need to be prepared for customer furniture items before they arrive.
Orderpad Export
Orderpad lines can now be exported by right clicking the orderpad grid.
POP
New Grid Fields
Added Receipt Company and Ref ID to POP lines. These follow the same logic as the header. Direct (PWD) or PWL would show customer and order number.
STD delivery will show own company name and '0'.
Direct/Dropship Supplier Deliveries
When authorizing a sales order, if the supplier ships only as DIRECT/DROPSHIP, the shipping code can auto-update in the requirements list if the supplier is marked as Direct/Dropship as default.
STOCK AND PRODUCTS
Stock Taking
Stock can now be updated directly from the product screen, without creating a stock take.
Kitted Products
You can now fully allocate kitted products when they are in your available stock. If the stock is available at the time the sales requirement is allocated, the system will allocate the kitted code without the need to build the code from the kitting list.
Stock Products – Balances
Allocated batches now show the dispatch note numbers and reference etc. to help trace the batches. This includes:
1. Reference ID (sales order number)
2. Dispatch note number
Catalog Headers:
Catalog headers now display 3 new fields:
System landed margin (Read Only),
System sales margin (Read Only), AND
Landed margin.
(The Selling margin field already exists for reference).
Expired Publications
If a publication has expired, a dashboard task warning will alert all users that one or more catalogs have expired and may impact pricing.
MOVEMENTS
Build Receipt Notes
New options are available to create blank receipt notes and add items by scanning barcodes (similar to a POS/till):
1 Users can create a receipt note and scan barcodes to add items. Once an item is added, all other items on the same PO will also be added. If an item is not on that PO, a warning will be given.
2. A new button allows users to add available lines to the receipt note.
NOTE – If a barcode exists on multiple POs, the system will add the item to the matching PO. If no match is found, the oldest PO will be selected first.
Dispatch Automation
'In Transit' notes that are NOT on a manifest ONLY can now be auto-completed.
1. A new admin automation job, Auto Dispatch Note Completion, has been added - one required for each depot.
2. Functionality mirrors auto receipt note completion, allowing notes to be auto-completed up to today or today minus X days when the status is In Transit.
3. Van route and dispatch depot have been added.
NOTE - When completing notes with pre-booked items, the line item is marked as mancomplete to help with exception handling.
Proof of Delivery Images
The image box in dispatch notes now includes a resize function (top-right corner).
New “open” arrows allow images to be viewed at a larger size for improved clarity.
Manifests
Routes can now be excluded from manifest creation. In the admin, select ‘Exclude from Manifests’ for a route so it does not show for creation and isn’t automatically picked up for any automated manifest generation.
FSM & METER READINGS
Umbrella contract meter readings
Previously, if NO UNITS were used i.e. the meter reading difference from last reading = 0, a Qty 0 line was produced. This has been expanded so a 0 Qty line is now created for both standard and umbrella contracts.
Billing
Bill to a 3-rd party company as set in the header of a support contract (as recently added to sales orders):
The 3rd party billing in the counter now uses the same third-party company as set in the header i.e. the parent setting works for all invoices from header contract and the counter readings.
NOTE - Counter readings cannot be billed to a different parent company than the contract itself. If needed, two separate contracts must be set up.
REPORTING
New Default Report
A new default Sales Order Labels report has been created, containing standard fields and allowing customization if additional details are required.
PO Report
The Sales Line Notes field has been added as an available field for the PO Line-to-PO report.
INVOICING
Sales Invoices Import
Invoices can now be imported via a new Excel CSV spreadsheet format.
This is available in Data I/O tool and for EDC imports via the PrimaV6 > Imports folder.
GENERAL ADMIN
EDC Jobs
EDC jobs now support up to three run periods per day. The second and third periods will stay as 'Not Set' until something is set - i.e. most jobs can remain with one period per day set.
1. Controls now allow any time to be set e.g. run to 13:05
2. The period between running the job can now be set to any duration (e.g. every 11 minutes), rather than the previously fixed 15 minutes set on dropdown.
Sales Orders: Archived sales orders are now excluded from automated customer EDI acknowledgements.
Third-Party Integrations
Prima API
Two new optional parameters have been added to SP ext_REMCreateOrder:
1. @contactname
2. @locationphoneno
1. Use the contact’s name instead of email address when creating a contact.
2. When existing address is found, update phone number with new one provided in Create Order.
3. When a new address is created, use the phone number in the Create Order function.
EvolutionX
EvoX API External Order Source field length has been increased to 50 characters to match Prima ERP
EvoX integration into (ECI's) .NET platform for pre-authorized credit cards is now available.
AUTOMARK
A new admin job has been added to export data to Automark. This export includes the same data customers previously received via Sales-i and is sent to sftp.autmark.com.
SPR EDI PO's
When sending a return, the header Reference field now shows 'S232443 Return' instead of ‘SO Buyer’. This provides clearer visibility of the original sales order on transmitted SPR documents.
BlueStreak Courier Service
Phase One now available.
FIXES & GENERAL UPDATES
Catalog Import: Fixed an error that occurred when importing catalogs with pricing band / menu info 4 mappings containing non-numeric values. The varchar-to-numeric conversion error no longer occurs.
HQ Location: There should always be an HQ in the database. This uncovered an issue that the tax code could not be found. If a tax code is not found, it is now correctly retrieved from the Primary Location.
Job Scheduling: Fixed an issue where job start/end times set to 00:00 were incorrectly treated as midnight.
PACT Ordering: Fixed an issue where back-to-back purchase orders did not retain the PACT reference if the first sales order line was not a PACT line.
Product Screens: Corrected spelling errors on the first two tabs of the Product Sales / Product Information screen.
Credit Card Payments (ERP): Fixed an issue where, after a partial payment and a failed payment attempt, the payment screen incorrectly defaulted to the full invoice amount instead of the remaining balance.
Commissions Report: Margin overrides set up in Administration now correctly apply salesperson-specific commission ranges (e.g., 0–10%).
FSM Support Contracts: Fixed an issue where third-party billing set in the contract header was not reflecting correct totals in the third-party tabs.
Catalogs
1. Fixed an issue where catalog imports could fail if a duplicate supplier code existed in another catalog.
2. Updated contract PGNumb handling so items on a negative PGNumb are moved correctly to the new positive PGNumb.
Credit Cards
EDC feature to complete payment from pre-auth is failing on Authorize.net:
1. If a preauthorization has already settled, EDC now marks the payment as completed instead of treating it as a failure.
When EDC fails to complete due to payment already settled, the payment is marked as completed, instead of leaving the status and continually trying to complete it.
2. Fixed an issue where lngPaymentId was not reset during batch processing, causing subsequent payments to update the wrong record.
Sales Orders & Quotes: Fixed a duplicate key error that occurred when creating a quote from a sales order containing additional costs followed by a line without additional costs.
Orderpad: The default cost center from the Orderpad header now correctly transfers to the Sales Order header default cost center when creating sales order from order pad.
Support Contract Invoicing: Fixed an issue where InvoiceLocCode could incorrectly be set to PARENT if invoice location of the invoice company is PARENT.
Supplier Grid Manager: Resolved an error that occurred when updating preferred suppliers if “Full Product” kit codes were included in the list.
Sales Orders (External): Images are now correctly created for externally generated sales order lines.
Rounding: Sales order line unit values now round consistently with sales quotes.
Supplier Costs: Fixed an issue where supplier cost prices displayed the same value for all suppliers when PACT was inherited from the parent.
Purchase Automation: When Allow Multi Supplier is set to No, scheduled (S) auto-purchasing now works correctly for multi-supplier scenarios.
Orderpad Visibility: Fixed an issue where an orderpad created under HQ without a contact was not visible. The system now allows selection of the next available contact.
Product Images: Fixed image creation and copying during new product creation.
EvolutionX: Contact and address creation now correctly ignores Prima rules that previously altered non-default addresses.
Arlington EDI: Acknowledgements no longer fail when an acknowledgment line is missing a description.
SPR: Tracking numbers are now fixed and working correctly.
Payment Status: Sales orders and invoices now reliably update payment status after credit card payments.
Proof of Delivery: Fixed an issue where blank POD images could be overwritten by the next available image.
Till Cash Sales: Till cash sales now use the correct tax rates and notes when the till is in different depots.
